Overview

The Young Adult Clinic Coordinator is responsible for providing support to physicians and allied health professionals within a busy ambulatory setting and is to ensure efficient clinic operations by providing excellent customer service to patients, other staff members, and external parties to meet the needs of Young Adults with diabetes. The Young Adult Clinic Coordinator will also collaborate with external organizations to promote the Young Adult Clinic mission and principles as established by the Director of the Young Adult Clinic.

Responsibilities

  • The coordinator will be charged with assisting in the ongoing improvement of the administrative protocol and procedures of the clinic to impact the care of young adults with diabetes.
  • Coordinate and assist in implementation  with the Director of the Young Adult Clinic a vision of the Clinic and how it best meet the needs of Young Adults with Diabetes
  • Triage incoming telephone calls appropriately and taking independent action where possible.
  • Actively monitor and manage appointments within the scheduling system and communicate with Scheduling coordinator in order to make adjustments as needed for planned/unplanned absences or conflicting obligations. Must also manage the rescheduling and recall of patients by sending appointment notifications to patients when needed and other outreach activities.
  • Schedule new and follow-up patients proficiently and have the ability to advise patients of insurance requirements and their specific referral or prior authorization process prior to visits.
  • Track data on the Young Adult Clinic including quality, efficiency and assessing the needs of young Adults with diabetes
  • Work with IT department to implement use of electronic medical records to assist with metrics, work flow, and follow up. Create and maintain files of pertinent information within office.
  • Support activities such as wait list, daily notification of available appointments to Clinic, confirmation calls, no-show/cancelled patient letters and marketing proposals to maintain and increase patient volume.
  • Schedule and attend monthly Young Adult Clinic meetings as well as prepare the agendas, and meeting minutes documenting decision points and actions items.
  • Assist in the development, coordination and promotion of young adult programs by contributing goals and objectives that reflect the mission and principles of the Young Adult Clinic.
  • Assists with the completion of documentation related to quality assurance requirements for the Clinic as well as external agencies through the use of concise monthly metrics.
  • Provide cross coverage support to other medical offices within the Clinic.
  • Other duties as assigned by the Practice Manager, Director of the Young Adult Clinic and Section Chief of Adult Diabetes.
  • Work collaboratively with other members of the Pediatric and Adult Diabetes Sections and Clinic to ensure patient satisfaction.
  • Demonstrate ability to be punctual and maintain excellent attendance record.
  • Demonstrate ability to exercise good judgment and take initiative.
  • Maintain confidentiality of all patient related demographic and medical information in adherence with HIPAA policy. As well as maintaining a professional attitude at all times when interacting with patients, visitors, and colleagues.
  • Adhere to State, Federal, and institutional safety guidelines including OSHA, and DPH.
  • Lead and support efforts to comply with managers’ responsibility to report and investigate work related accidents, implementing preventative safeguards as necessary.
  • Be knowledgeable about emergency procedures.

Qualifications

  • Associates degree in a related field or equivalent work experience; Bachelor’s degree preferred
  • Minimum 2 years’ experience in medical office/reception setting or other customer service oriented position
  • Certificate from a business school or program (preferred)
  • Experience with windows operating systems & Microsoft office
  • Experience with automated medical record and registration/scheduling systems preferred
